Despite this, many MPS software vendors have lagged in developing robust security capabilities, often only addressing document and device security superficially. The real need is for a holistic security approach that includes rigorous testing and compliance with international standards.

In this shift towards SaaS solutions, many legacy print and device management applications are being adapted for cloud environments without the necessary redesign or implementation of robust security measures. These older systems often lack true multitenancy, data separation, API security, and strong authentication, making them vulnerable to the myriad threats posed by public Internet exposure.

On the other hand, all SaaS companies face increasing security challenges as their platforms grow, expanding their attack surfaces and becoming prime targets for cyberattacks. Critical risks include account hijacking and supply-chain compromises, where attackers infiltrate development pipelines to embed malware in code updates. In the MPS world, Data Collection Agents (DCAs) can become gateways for network intrusions. Many organizations, constrained by limited IT security budgets and a lack of awareness, underestimate these risks, often failing to invest adequately in security measures.

As highlighted by IDC, there is a significant need for a shift in perception, recognizing that comprehensive and proactive security strategies are essential for safeguarding print and device management systems in the SaaS era. A modern cloud-native approach, with security integrated from the ground up, is crucial for maintaining the integrity and safety of these platforms. In this context, dealers play a key role in helping companies navigate this complex landscape.

A strategic approach: balancing modernization with security

Although companies are integrating SaaS software into their MPS strategies to modernize their IT infrastructure, there’s a disconnect between the security priorities reported by organizations and what current MPS solutions offer. While security is a top concern, few solutions meet the high-security standards required by modern print architectures.

Although we talk a lot about Managed Print Service (MPS) solutions, it’s relatively rare to look under the bonnet and explore their actual mechanics. But Data Collection Agents (DCAs) are pivotal to the success of any MPS solution. Their reliability, redundancy, and the quality of information delivered distinguish a market-leading Managed Print Service from an ‘also-ran’. They also impact dealers in terms of their ability to save costs, improve efficiency, boost customer satisfaction levels, and retain clients.  

Dealing with DCA Redundancy

As a dealer, you will probably have installed a fair few DCAs on customer premises. Perhaps it’s not something you’ve given much thought to, but the DCAs for many device management solutions have no built-in redundancy.

This may not be a problem for larger customers as the DCA is probably on a virtual server in a dedicated server room or data center. In these instances, your DCA gets the enterprise IT treatment. It is backed up and replicated as part of your customer’s disaster recovery and business continuity program. But you’re relying on the redundancy in their IT network rather than the redundancy in your MPS solution. And that should trouble you if you’re looking to deliver the very best quality of customer service.

DCA redundancy becomes a real issue for dealers across their smaller and mid-sized clients. There may not be a central server or reliable backup and recovery procedures in place. Without an on-site server, dealers have no choice but to install a single DCA on a single networked PC. If that PC fails, becomes corrupted, or doesn’t get switched on one morning, the DCA doesn’t gather its data, and the MPS solution stops functioning. The problem is somewhat lessened if the PC with the DCA is backed up regularly. But it still won’t help if the actual machine isn’t switched on or can’t connect to the network for any reason.

DCAs could also be removed during automated OS or software. Other scenarios include DCA removal by IT admins because they don’t recognize it or the DCA is not on the officially approved software list. In some instances, DCAs are also removed by IT admins — or even the actual machine users — in the belief that they’re slowing down processing speeds.

Reinstalling DCAs — A Thankless Task

If a DCA with no in-built resilience fails, then the MPS solution grinds to a halt. Most MPS solutions will alert dealers and end-users. MPS Monitor’s dashboard, for example, clearly shows when DCAs have failed or have become disconnected. Users can then drill down into the DCA page and find out probable causes. Dealers and customers have the option to receive automated emails when DCAs fail — these can be delivered immediately or after a pre-configured time-lag.

Once a DCA failure is identified, it’s a case of ascertaining if your customer can carry out the reinstallation themselves, whether you could guide them through the process over the phone or if you have to set up remote access to their network and carry out the reinstallation that way.

Sadly, there are no good options here. DCA reinstallation is a time-consuming job, and — even though failures aren’t usually the dealer’s fault — they typically get the blame. Unfair as it sounds, they’re the organization that installed the software, so — as far as the customer is concerned — the buck stops right there.

At that point, unfortunately, the dealer’s customer service and satisfaction rating start to fall. Therefore, dealers would be wise to give some serious thought to the amount of redundancy in the MPS solutions they’re installing on client networks.

But it’s not just about damaged customer relations. One of the principal goals of device management software is to streamline dealer operations and improve profitability. If you’re forced to carry out regular DCA reinstallations, then your MPS solution is contributing to inefficiencies and costing you money.

Building Redundancy and Flexibility into DCAs

Fortunately, there is an answer. Companies like MPS Monitor have developed a device management solution with in-built redundancy in its DCAs and more flexibility regarding where DCAs can be deployed. These device management solutions support several DCAs across multiple machines using clustering technology and nodes to create redundancy across an IT network. Clustering has been used for many years at a server level to strengthen IT system resiliency, but the same principle can protect software from failure.

Set-up is still very straight-forward. Clustered DCA nodes are installed on several devices and connected to the MPS solution. Once activated, the MPS solution reaches out to establish contact with the primary DCA node. If it cannot make contact, the software has sufficient intelligence to reach out to a secondary DCA node to gather the data.

Each active node holds current system data and has the capability — if called on to do so — to deliver up-to-date information to the MPS software, even if one of the DCAs has failed. There’s no need for the immediate manual reinstallation of the faulty DCA. Customer operations can continue to run without the risk of running out of critical consumables, and the software will continue to function until all the nodes fail. Unresponsive nodes rejoin the cluster when the machine they’re on reconnects to the IT network.

Running Multi-Platform Data Collection

Clustering is most effective when there’s more flexibility in the kind of devices that can host the DCAs. Classically, DCAs could only reside on Windows machines, which limited their use, even when clustering was possible — and certainly aggravated situations where DCAs with no redundancy were in play.

Today, however, DCAs belonging to the most advanced MPS solutions include cross-platform support. So, as well as running on Windows machines, they can operate on Linux, Mac, and Raspberry devices too. They also can run directly from printers.

MPS Monitor’s Embedded DCAs can perform data collection directly from Kyocera, HP, Lexmark, and Samsung Multifunction devices. This is possibly one of the most accurate and reliable ways of gathering device data to support consumable replacement, page volume measurement, and billing — all without any need to use customer PCs or servers. Adding this flexibility like this at the DCA installation stage gives more options to dealers and their customers — which should pay dividends further down the line when keeping site maintenance visits and call outs to a minimum.

DCAs Driving Consumables Management

DCA redundancy, however, is only part of the story. The quality and granularity of information provided by DCAs — and the way MPS solutions action it — can also profoundly affect the efficiency and profitability of dealer operations.

Some MPS solutions will use information gathered from DCAs to alert dealers to send toner to one of their customer’s printers. But there still won’t be any information to explain which products need to ship — or any option to automate the process. This means the dealer has to check and then place the order manually. As contracts get bigger and more complex, this becomes a much more challenging task. There’s also a greater risk of inaccuracy at each stage, whether that’s selecting the right part number, getting the delivery shipped on time or billing the client at the end of the month.

Other systems do slightly better at using the information delivered by DCAs. They might provide toner part numbers, but no further information — and no integration or automation. Dealers are left asking themselves: Does my client need other supplies? Can we bundle this order with other consumable replenishments that might be due around the same time? There’s still a degree of manual checking and coordination required. 

By contrast, solutions like those offered by MPS Monitor can extract that level of detail from its DCAs and intelligently apply automated dispatch and invoice processes. This sets dealers on the path to more seamless end-to-end logistics. In this scenario, the dealer pre-selects each printer’s part number and enters it into their MPS solution. When the DCA alert comes through, the exact part number is ordered automatically — and with no human intervention — on either internal or external systems. The consumables are then shipped directly to the customer.

This enables dealers to hold only minimal consumable stocks (with some electing to have zero consumables on-site). As such, they can remain agile while scaling their business quickly as new clients and contracts come on board — all without compromising customer service or dramatically increased overheads.

Hopefully, this article has illustrated the vital role that DCAs play in maximizing service management software effectiveness — and explained why it’s so crucial for dealers to check DCA redundancy and flexibility. They may be invisible to your customers, but DCAs have a direct impact on the quality of service you deliver to them and the efficiency with which their infrastructure functions.

The traits observed in an average office printer fleet from the early 2000s bear striking resemblances to present-day label printer fleets in end customer environments.

Often, the precise number of devices (or even an indication), as well as the variety of brands and models, remains unclear. Additionally, details regarding device age and technology are frequently unknown, with instances of outdated technology persisting within customer networks without (adequate) security measures. However, the most notable observation was the utter lack of insight regarding security measures for network connected label printers.

When trying to create an optimum just in time consumable replenishment system for a business, sometimes the stock management side of things can be neglected. It’s great when the alert thresholds are set exactly where they need to be, but the system fails if there isn’t the correct consumable stock available at the right time.

Getting the consumable stock inventory levels correct where they are held within the business is a careful balancing act between holding enough stock and not holding too much which unnecessarily ties up cash.

Previously stock levels may have been calculated based on the number of certain models in the fleet and sometimes the calculations of stock requirements may have been based on “how many of these did we use in the same period 12 months ago?” This didn’t factor in things like changes to customer usage patterns / changes to the numbers of certain models in fleet, etc. which often led to incorrect stock inventory levels which is far from ideal.

There is a better way.

Use the data being captured from your printer fleet to show real time predictive stock requirements for specific periods.

This allows the business to ensure that the consumable stock holding is accurate so that orders can be dispatched as required to optimise the just in time delivery service, whilst also ensuring that cash flow is used optimally.

In January 2023 the company also successfully passed an audit for the renewal of its ISO/IEC 27001 certificate.

MPS Monitor’s certified compliance with these three top security standards demonstrates the company’s commitment to ensuring the highest levels of security and privacy for its customers. The company has, for many years, adopted a holistic approach to Print Security, with the goal of providing the industry with the most secure cloud infrastructure for remote monitoring and management of print devices.

Established by the American Institute of Certified Public Accountants (AICPA), the SOC 2 examination is designed for organizations of any size, regardless of industry and scope. Achieving this accreditation confirms that the information assets of a company, of its customers and partners are securely protected. SOC 2 reports are recognized globally and affirm that a company’s infrastructure, software, people, data, policies, procedures and operations have been formally reviewed, to make sure that adequate security controls are in place and are effective.

In addition to SOC 2 Type 2, the company decided to obtain a CSA Star Level 2 Attestation. The CSA Star Program is promoted by the Cloud Security Alliance, and ensures compliance with Cloud Control Matrix (CCM), a cybersecurity control framework for cloud computing. CCM is composed of 197 control objectives that are structured in 17 domains covering all key aspects of cloud technology. It can be used as a tool for the systematic assessment of a cloud implementation and provides guidance on which security controls should be implemented by which actor within the cloud supply chain. The controls framework is aligned with the CSA Security Guidance for Cloud Computing and is considered a de-facto standard for cloud security assurance and compliance.

On September 27, 2022, Canada-headquartered Valsoft acquired two European device management software solutions companies — MPS Monitor srl., headquartered in Italy, and Euroform A/S, headquartered in Denmark.

Valsoft specializes in acquiring and developing software companies in “vertical markets” and has now entered the managed print services (MPS) vertical, offering remote monitoring and management and MPS SaaS solutions targeted at the channel players that sell MPS.

Valsoft focuses on developing the business of SaaS solutions providers in niche markets, where the latter has displayed strong growth potential — that is, growing significantly faster than the market average. Typically, it would aim to invest in companies of $2 million to $10 million in annualized revenues, and with 10 to 100 employees, as a starting point.

Valsoft viewed the MPS software market as a potential opportunity and had approached several companies, including MPS Monitor, as potential acquisition targets. Having opened an office in the U.K. in 2021, MPS Monitor had also publicly expressed an interest in expanding into the Nordic market and was also in discussions with Euroform about a potential merger or acquisition.

MPS Monitor 2.0 supports the key trends in cloud printing as identified by a recent report entitled ‘The Cloud Print Services Market Landscape, 2022’. The report has been published by Quocirca, the print industry’s leading source of independent market insight and advisory services.

The report comes at a time when public and private sector organisations are considering how the cloud can best address print-related challenges including security, support for hybrid-working models and simplified maintenance, while ensuring that sustainability goals are met.

The report notes the increase in cloud adoption, with 20% of companies stating that they expect their IT infrastructure to be fully in the cloud by 2025. This transition is fueling interest in the cloud print services market, as more organisations recognise the cost and efficiency gains to be realised by being less dependent on on-premises print servers.

Perhaps most importantly given increasingly sophisticated online threats, organisations recognised the enhanced security delivered by cloud printing platforms, with over half of respondents considering cloud printing to be more secure than an on-premises platform.

At the heart of this transition to cloud-based print are MPS organisations. Of the organisations that responded, 40% claimed that a move to a cloud print management platform was a top benefit of MPS adoption.

As a result of the comprehensive testing activity, MPS Monitor DCA 4 has been honoured with a Buyers Lab (BLI) Outstanding Achievement Award. Keypoint Intelligence’s analysts and lab technicians conducted extensive testing and research activity. This included both hands-on lab tests and a review of third-party security testing that MPS Monitor had performed with the help of specialised security firms before and after DCA 4’s initial release.

The result of the analysis proves the quality, security and richness of features within DCA 4, and highlights the improvements that MPS Monitor has implemented in its DCA core technology, making it “a leading-edge data collection agent that is equipped to deal with the worst security threats and to provide efficient, simple and versatile data collection”.

Keypoint Intelligence had already successfully tested several previous versions of MPS Monitor’s DCA (then called eXplorer 3). The last testing sessions were performed in 2020 as part of the testing of the entire MPS Monitor platform, which resulted in a Platinum Evaluation and in a Security Compliance Seal. The overall security posture of the platform was also subject to an extensive analysis performed in 2021, which led to the release of a dedicated Managed Print Services Platform Security Whitepaper

The new version brings a wealth of innovative and revolutionary features that are, in most cases, first to the market. DCA 4 is a complete redesign and rework of the award-winning MPS Monitor DCA, which, over the last 12 years, has been installed in more than half a million customer networks, and is currently used by thousands of dealers to manage more than 1.2 million printing devices across 60 countries. To remain at the forefront of technology and to provide further advanced and unique features to its customers, MPS Monitor decided on a clean-sheet redesign, using the latest IoT protocols and development environments. Although COVID-19 has had a major impact on the office technology industry, in the long run, poor security is more likely to damage your MPS business than COVID-19. The low print volumes and accelerated digital transformation trends caused by the pandemic aren’t necessarily good for MPS providers, but eventually we can expect workers to go back into the office, page volumes to return to healthy levels, and MPS providers to carry on.

Compare that to a security breach. Not only does that create a significant financial impact, but there is also an impact on your reputation. Finding new customers and holding on to the ones you’ve worked hard to get is difficult enough — try doing it as “that MPS provider who got hacked.” If you sell MPS, then security needs to be a top priority.

Infrastructure

Cloud providers should be performing routine penetration testing and vulnerability assessments and have continuous security monitoring procedures in place. A comprehensive cybersecurity approach involves compliance to broadly recognized security standards, like ISO/IEC 27001 and AICPA SOC 2 Trusted Services Criteria. The combination of standards compliance with adequate tools and procedures can ensure that an Information Security Management System (ISMS) is developed and maintained using a methodology that assesses and mitigates cybersecurity risks and undergoes a continuous improvement process to prevent, or at least mitigate, attacks.

Data security and compliance

MPS providers are responsible for handling a lot of sensitive business information, personally identifiable information (PII), technical information regarding their customers’ IT infrastructure, and other valuable data. When processing data protected by regulations, it is incumbent upon the MPS provider to ensure it stays compliant. Laws governing compliance are increasingly common in the U.S. as well as Europe, and navigating the privacy landscape can be tricky, so it’s essential to work with a provider that stays up to date on compliance. Device security

The scale of the risk this poses, can be seen in Quocirca’s recent Cloud Print Services 2021 report. It found that only 21% of those organisations surveyed are completely confident in the security of their print environment since the onset of the pandemic, compared to 33% pre-pandemic. Additionally, 32% indicated that employee-owned printers present a risk to their organisation, which must do more to protect cloud data from phishing attacks, malware, ransomware and a host of other vulnerabilities.

User security

The best security option is to integrate an MPS provider’s cloud applications into Active Directory (AD) and enable SaaS Single Sign-On, ensuring users don’t need different (possibly weak) credentials for each system and allowing users to be granted the minimum privileges needed.

When AD integration is not possible, simple fixes, like enforcing strong passwords, requiring users to change their password every six months (or sooner), and implementing Two-Factor Authentication (2FA) can prevent cybercriminals from taking control of an employee’s accounts. 

Cloud print in the work-from-home environment

Referring specifically to how this impacts print, Quocirca’s 2021 MPS study reported that 39% of organisations have implemented some form of cloud print management platform, rising to 48% in organisations with more than 1,000 employees, 52% in the US and 51% in the financial services sector. To support the needs of remote workers printing to printers located in the office, 47% indicated that they have implemented remote job submission to office devices, rising to 58% in the US and 53% in the financial sector.

Overall, 67% said that they will increase their use of cloud print management by 2025, with a further 5% saying that they will move over to cloud-based printing completely. Notably, those using a hybrid MPS, rather than a fully outsourced MPS, are more likely to transition to cloud-based printing (80% and 63% respectively).

IT security remains the top investment priority over the next 12 months

The recent Quocirca’s Global Print Security Landscape 2022 report reveals that many organisations are struggling to keep up with print security demands in today’s hybrid work environment.

53% of respondents say IT security is one of their highest three priorities. MPS (managed print services) are second in importance (41%) followed by managed IT services (38%) and cloud services (35%). 70% of organisations expect to increase their print security spend over the next 12 months, with only 11% expecting a decrease.

Moving forward

The tools and partners already exist. One such example according to Keypoint Intelligence, is MPS Monitor 2.0. In Keypoint Intelligence’s Managed Print Services Platform Security Whitepaper, it declared that MPS Monitor’s solution had met key criteria, ranging from the ability to maintain customer devices in a stringent security posture through proactive and automated management of key device settings, to offering a proven-secure DCA for their customers’ networks. MPS Monitor: a solution that accompanies growth

MIPS Informatica has been in the printing solutions market since 2006, initially as an exclusive dealer of Konica Minolta. Over the years, the company has implemented services for other brands in the printing industry, such as Canon, Kyocera and Epson, significantly increasing the range of devices managed.

In addition to the proprietary control system initially used, it has proved necessary over time to evaluate a new and more open printer and MFP monitoring system. After 12 years of use, supported by the expertise of MPS Monitor’s consultants, we can say that this cloud-based print monitoring and management solution, which is completely reliable and able to bring efficiency to our in-house as well, has literally transformed our business,” says Luca Marini. 

Today, MIPS Informatica manages about 2300 alerts on its customers’ individual devices and has shipped them about 3600 consumables in the last year. For the Ligurian company, monitoring and management of printing systems have generated savings of around 100 thousand euros in the costs of raw materials, shipments and working times. In particular, MIPS Informatica has been able to unify the transport of materials under stock, quickly manage the rotation of consumable products by reducing the inventory and save processing time and delivery, to the benefit of customers.

With the virus still prevalent, 2022 is set to be another uncertain year for governments, economies, businesses and citizens. One thing we can be sure of though, is that security risks and breaches will continue to plague organisations of all sizes, creating disruption and chaos and even fines for those found to be in breach of GDPR best practice. 

Print continues to be a source of potential document-related security breaches, and it’s important that this risk doesn’t get swept away by broader business concerns. In its recent Print Security Landscape 2022 study, Quocirca – the print industry’s leading source of independent market insight and advisory services – identified businesses’ increasing concerns around the risks of printing, and low confidence in the ability to protect the print infrastructure against security breaches. 

There were some alarming findings, such as only quarter of IT decision makers (26%) feel completely confident that their print infrastructure is secure; that’s despite all of the work that has been done to bring potential print vulnerabilities to the attention of organisations. The report also flags how organisations are not keeping up with print security challenges, with more than half (53%) stating that it has become considerably harder to do so; that’s probably driven by hybrid printing which is also flagged up in the report. It revealed that 67% of respondents have concerns centred on the security risks of home printing, which compares to 57% who are concerned about office print security.

There were some promising signs, however. One of which was that organisations that use an MPS are most confident in the security of their print environment. That stands to reason, as MPS providers are laser-focused on delivering security as part of their service offering, taking the responsibility of managing it away from their clients.

Over the weekend, a high severity security vulnerability in the Java-based log4j logging framework (CVE-2021-44228) was reported and is being actively exploited. This exploit is also known as “log4shell” and provides a vector for remote code execution.

Security is a top priority at MPS Monitor, so we have been actively reviewing our infrastructure to assess our exposure to this vulnerability and to ensure we continue to maintain a secure environment for you and your customers.

As a result of this full and extensive assessment, we can state that MPS Monitor does not suffer of any risk coming from this vulnerability.

On those applications, we have checked extensively and we can confirm that the Log4J version we use is not among those affected by the vulnerability.
We have also checked that the classes and functions that can be exploited by the vulnerability are not present in any of the Embedded versions currently distributed nor in previous versions.

So we can officially state that CVE-2021-44428 does not affect in any way the security of the MPS Monitor system. There is no action needed from you nor from us because of this vulnerability.

There are many ways of measuring how successful a business is, but perhaps the most impressive is when another company deems it promising enough to be a valuable acquisition target. That’s been the case with Simplify, a Norway-based print dealer that offers a wide range of print services. Earlier this year, it was acquired by business support company ECIT, as part of its strategy to expand its presence in the Nordics, and rebranded ECIT Simplify.

Of course, it wasn’t just Simplify’s geographical location that made it attractive to ECIT. With roots going back to 1996, it has become a trusted ally to many small to medium businesses – as well as offshore oil rigs and ships – earning it an enviable reputation over two decades for excellent customer service and dependable support. 

Keeping print in check
Despite the breadth of its customer base, ECIT Simplify’s clients typically print routine Microsoft Office documents. Each print, however, needs to be counted and accurately billed for. In line with this requirement, one of the print services offered by the 20-strong company, includes print device monitoring. “As part of the print service we provide to our customers, we need to manage the monthly invoicing of the page pack service contracts our customers have, billing them according to how much they print and the cost per page,” stated John Alfred Hustvedt, ECIT Simplify’s sales director.

Previously, conducting this task for approximately 300 customers was arduous and tedious. It required the team to alternate between Excel spreadsheets in a process that John Alfred described as ‘gruesome’. 

Automating time consuming tasks is made easy with MPS Monitor
Such inefficiency wasn’t sustainable. “We had to find a better way to manage the meter reading and monthly invoicing,” John Alfred added. Underpinning that service today is MPS Monitor, from the developer and distributor of the leading platform for the remote monitoring and management of printers and multifunctional devices.

Now, ECIT Simplify is using MPS Monitor as a one stop shop for printing information and print volumes. “I think that because of this, we’re saving about 30% of an administrator’s time that can be put to better, more productive, use.” John Alfred also added: “We really like the BI portal, and how it enables us to use all of the data points as a decision making tool. This helps us keep abreast of our customers’ needs. Furthermore, the data that we get from the reporting module that MPS Monitor helped us create, enables us to prove to our customers that we are honouring our Service Level Agreements (SLAs), which helps build more trust between us and our clients.” 

A product’s technical capabilities alone aren’t enough to make ECIT Simplify chose one solution over another, as he explained. I am very keen to have a partnership with companies like MPS Monitor. As a business with evolving needs, a one-off customer-supplier relationship wouldn’t suit ECIT Simplify long term. It is imperative that our suppliers really can work as a partner to our business. MPS Monitor has proved that it can scale, and that it can tailor solutions to meet our needs. Unlike many smaller IT service providers, I’m impressed not just that it has a vision for its future, but I’m impressed by its vision and roadmap for the future. To that end, we now involve MPS Monitor in our business development projects. By working in conjunction with one another, MPS Monitor’s offering evolves to meet our needs.

The fact both companies can work in parallel with each other is set to bode well for the future, especially when Simplify’s merger with ECIT is completed year end Q4 2021.When that happens,” John Alfred explains, “we’ll be using MPS Monitor to monitor up to 3,500 multi-brand devices.”

Convenience often lies at the heart of a great customer service experience, as Sue Lenton, managing director of Weaver & Bomfords, explains. We’re always looking at how we can offer our clients value, and by providing an outsourced print management solution from MPS Monitor we can remove their print burden so they can get on with running their business. From a customer’s point of view, they haven’t got to maintain or manage toner supplies as it simply gets delivered and marked up for the right machine, so they know that it will be there as they need it. Typically, our customers have several print devices, so we looked at what was the best MPS for them, to make it easier for them to keep their fleets running efficiently and cost effectively. We were able to provide an extension to the service we normally offer office-based staff; we can check remotes devices and supply them with toner when needed and we provide remote support in the event that they have any print or scanning problems. As long as the connector is installed, we can see devices and the network hierarchies. At the time, there wasn’t actually an official connector for us. But MPS Monitor listened to us and developed one pretty quickly and then helped us to get it set up. The integration with Vantage Online made the complex process of changing from another provider straightforward. They also helped us to perform a bulk update to minimise the tasks involved.” Sue added: “With the system in place, toner alerts are created directly into our system, ready for immediate processing while real time meter readings simplify billing. It’s streamlined what can be very manual tasks, therefore freeing up staff time. The integration between the two is being developed further and we hope to be able to use even more of the MPS Monitor features from within Vantage Online very soon.”

Introduction

According to the 2021 KPMG CEO Outlook Pulse Survey, 45% of business leaders do not expect a return to ‘normal’ business operations until 2022, while 31% think it will happen later this year — and almost a quarter believe their business has changed forever. Wherever you find yourself in this discussion, one thing is clear — normal isn’t going to be quite as, well, ‘normal’ as it was before the pandemic.  

Employees have got used to working from home. In many instances, they’ve shown they can be just as productive — if not more so. True, many employees miss the camaraderie, mentoring and community that comes with office life. But they certainly don’t miss the commute. They’ve got used to the extra hours in a day for family time, socialising, exercising — or even the ability to put in some additional time when urgent deadlines are looming. 

Microsoft’s recent Work Trend Index reflects this, suggesting employees seem ready and willing to adopt a hybrid way of working where they spend 2-3 days a week working remotely and the remainder of the time in their office. And 30% of CEOs surveyed by KPMG think most of their staff will be working this way in the long term.  

Smarter Management of Remote Printers

COVID was a catalyst for rapid cloud adoption and successful hybrid working practices that have the potential to far outlive pandemic-driven work-from-home directives. Before the pandemic, employers might have been sceptical of homeworker productivity and dubious of the cloud-based infrastructure required to support it. However, left with no choice but to roll out cloud strategies at speed to keep employees safe and their companies operational, most business leaders concede that it has been a very successful experiment. 

But if companies want to maintain hybrid working, in the long run, they need a print management strategy that enables employees to print to networked devices with equal reliability and security from their home or office. 

It’s easy to assume that security breaches only happen via servers, PCs, laptops, phones, and tablets — but anything with an IP address — including printers and print devices — can be impacted or used as an unwitting vehicle to deliver a virus or create a security breach. Old printer firmware and unsecured DCAs are just two ways printers can leave businesses exposed to cybercriminals — and the risk increases dramatically when remote print access is brought into the equation.  

That’s why MPS Monitor has partnered with HP to deliver Print Security features through HP Smart Device Services. It’s an automated, cloud-based solution for remote device management that allows dealers and MPS providers to create security policies and conduct regular print security assessments. Amongst other things, it identifies out-of-date printer and print device firmware that could have known or likely security vulnerabilities on individual machines — and can highlight security risks at a fleet level too. 

Dealers can also use the platform to implement recommended vendor device security policies and automatically apply those settings across an entire fleet. There’s no need for anyone within the end-user company to concern themselves with device security. 

Cloud-enabled DCAs

Taking our partnership with HP one step further, we fully integrated the company’s SDS Cloud DCA into our software in February this year. This helps deal with the daunting task of managing the proliferation of DCAs for remote workers in their home office environments. 

Pre-COVID, a typical business with around 1,000 employees, might provide 200 printers around their offices — all connected inside the corporate network — often requiring just one DCA to manage the fleet. When lockdowns were introduced and employees started working from home, many businesses provided homeworkers with printers and, in doing so, tripled the number of devices within their organisation. To make the situation more complex, the printers were no longer connected to the corporate network, and each required a DCA of its own. 

This created a significant amount of additional administration work, both for dealers and for the homeworkers that suddenly had to worry about the DCA management and deployment. In a situation where there are many more devices than before, but printing less pages overall, the dealer’s profitability is already at risk, and the burden of managing many more DCAs only adds costs up to the equation.

HP SDS Cloud DCA solves this problem for dealers by helping them manage HP devices using supported FutureSmart firmware, without installing any software on PCs or laptops. Instead, the printer itself is the DCA and connects directly —and independently — to the cloud. We believe it’s a sure way to enhance service offerings, hit SLAs and keep accounts running profitably and efficiently.

Cloud Printing with Microsoft 365 Universal Print

We’ve mentioned that printing to a networked printer from a remote location creates all kinds of potential risks unless it’s done securely, but why is that the case? Well, traditionally, networked printers and users were all located ‘inside’ a network with a firewall around them to keep out unauthorised users (like a castle surrounded by a moat). Security was established at the perimeter: the authorised machines were located ‘inside’ the network (or castle), while unauthorised ones remained ‘outside’ (beyond the castle walls). 

That’s where solutions like Microsoft’s Universal Print come into play.  They enable a trusted Azure Active Directory identity to print from the Microsoft cloud to a networked machine. From that point on, it’s the verifiable identity and not a specific machine, device or site that allows to connect to the corporate network and print documents. Microsoft Universal Print is natively integrated with MPS Monitor and fully supported. This means dealers and MPS providers using MPS Monitor can now help their customers move their print infrastructure to the Microsoft 365 cloud and manage all their MPS functionality within a single SaaS solution. 

Dealers who already deploy our software (or intend to do so) can directly activate all Universal Print functions for their Microsoft 365 clients. This includes, print queues, pull printing, remote monitoring and management, user management, and job tracking. And should dealers opt for hybrid working practices, too, their staff can service customers with ease and efficiency regardless of location. 

A single cloud-based solution makes it easier for dealers, which, in turn, makes it easier for their customers. It also means that remote working IT teams can monitor print usage and set print policies without being physically on site, ensuring flexible working is available. Conclusion

If the KPMG and Microsoft research we’ve examined here proves correct, then the future of the workplace is hybrid. That means the future of printing, managed print, and print device security is cloud-based. That’s a sentiment echoed by Quocirca in its Printing in the Hybrid Workplace Study,  which states that “…cloud will be an enabler for the new normal print environment. The need for a platform that can more easily scale to meet the needs of a hybrid workplace and provide the levels of availability required for such a workforce is becoming more apparent.”

Introduction

ATF works alongside Italian companies to support them in their digital development with Digital Transformation solutions ranging from Printing to Smart Collaboration, from IT Systems to Consultancy and Implementation of new digital processes.

The Challenge

The implementation of MPS Monitor 2.0 began in 2020, after an assessment carried out with MPS Monitor consultants led by Luca Tanganelli, Italy Sales Manager of MPS Monitor, which highlighted the priorities of ATF and its customers: from consumables management, to the automated reading of printing device counters, a fundamental operation for invoicing under cost-per-page contracts. Furthermore, the Business Intelligence and remote technical assistance features included in MPS Monitor 2.0 proved to be essential for the Dealer. Particularly in the current climate, these features allow customers to receive a timely and faultless service with a simultaneous cost reduction of between 20 and 30%.

The possibility of immediate integration with the management systems in use and the features for the management of the operational processes of the platform, together with the ease of use found in the initial tests, were considered strengths which favoured the choice of MPS Monitor 2.0.

The new ways of working, which need to consider employees located in different locations, with remote access to company devices, also requires special attention to data: ATF immediately found the holistic approach to security of MPS Monitor 2.0 to be fundamental. The full regulatory compliance guaranteed by the platform thanks to ISO/IEC 27001:2014 certification and consequently compliance with the requirements of Confidentiality, Integrity and Availability of the acquired data, compliance with the EU GDPR Regulation 2016/679, and in particular the use of adequately protected cloud systems located in the European Union, were determining factors in convincing ATF.

The Results

The implementation of MPS Monitor 2.0 provided the first benefits immediately: optimization of the monitoring, maintenance and supply operations of the device fleet managed by ATF allowed the Dealer to provide customers with a faultless service, reducing management costs.

Thanks to real-time monitoring and alerts received on the operator panel of the MPS Monitor platform, ATF was able to immediately obtain indicators regarding volumes, consumption, average coverage, duration and frequency of consumable changes for the printers and MFPs managed. ATF was also able to proactively check the status of consumables for each customer, providing supplies only when needed, or in advance in order to avoid several shipments to the same end user.

The new level of service that ATF was able to provide its customers during such a complex period as the pandemic was immediately appreciated by those companies struggling with the logistical and operational reorganization that the new remote working model entailed.

The feature explains the challenges the company faced before the adoption of Power BI. Previously, MPS Monitor was reliant on multi-dimensional OLAP cubes and data being processed every night in the cloud system and updated daily, rather than in real time. Not only did this process require a considerable amount of data to be sent to customers every day via file sharing services such as CUBE files, but customers were then required to connect to those files and interact with data using Excel pivot tables. This data environment made it increasingly difficult and time-consuming to create useful and compelling reports and graphics, as well as share those visualisations. As MPS Monitor’s number of users began to grow, producing and distributing hundreds of CUBEs every day became more problematic and the OLAP environment was more challenging to maintain. 

The feature celebrates how MPS Monitor successfully used Microsoft’s Power BI Embedded platform to address its business and technical requirements with the creation of its highly effective BI solution, called MPS Monitor Analytics. This was designed and implemented entirely by MPS Monitor’s core team without any external resource, pointing to the strength and excellence of MPS Monitor’s in-house talent for successfully addressing customer challenges. 

The MPS Monitor Analytics solution enables users to access a full BI environment from within their web portal – all without the need for separate accounts, different portals, or additional licensing. The achievement is another significant endorsement of MPS Monitor’s holistic approach to Print Security, as it further validates the company’s ongoing efforts to comply with recognised industry standards and to provide the most secure cloud infrastructure for remote monitoring and management of print devices.

The independent examination, conducted by leading cybersecurity assessment firm A-LIGN, confirms that MPS Monitor’s security practices and controls meet the Trust Services Criteria for Security, Availability, and Confidentiality as of April 30th, 2021. 

Established by the American Institute of Certified Public Accountants (AICPA), the SOC 2 examination is designed for organisations of any size, regardless of industry and scope, and passing it confirms that the personal assets of their potential and existing customers are protected.SOC 2 reports are recognised globally and affirm that a company’s infrastructure, software, people, data, policies, procedures and operations have been formally reviewed. 

Since being certified with the ISO/IEC 27001 standard in 2017, MPS Monitor continues to look for ways to improve its Information Security Management System, and during 2020 the company decided to test its compliance with further international security standards. With the help of the A-LIGN team, a SOC 2 testing plan was designed and approved, with the goal of completing SOC 2 Type 1 in the first half of 2021 and, as a next step, SOC 2 Type 2 after one year. With today’s announcement, the first milestone of this plan has been completed successfully.

New patent-pending algorithm drives supplies shipments and replacements, and provides accurate coverage calculations on MPS contracts.

MPS Monitor®, the company that develops and distributes the leading platform for the remote monitoring and management of printers and multifunctional devices, has announced a set of new features – underpinned by a proprietary Artificial Intelligence / Machine Learning algorithm – targeted at improving supplies monitoring, shipments and analytics on its fleet of more than one million devices. The new features are being released under the brand name of MPS Monitor Supplies Intelligence. The proprietary algorithm that the Supplies Intelligence features are based on, has been developed and fine-tuned during the last 18 months on its entire monitored fleet. The algorithm is currently Patent-Pending at the US Patent and Trade Office.

Thanks to the additional functionality delivered by the new algorithm, the MPS Monitor platform is now able to predict with far great accuracy on which day each single toner or photoconductor in each printer will reach end-of-life and when it will need to be replaced. It can also determine how many pages each consumable being used in each device is expected to produce in its total life, and how much this may differ from the standard yield declared by the manufacturer. Finally, it is able to calculate an accurate and realistic value for the average toner coverage of each device and of each consumable cartridge.

MPS Monitor’s automatic supplies’ replenishment service relies on this unique algorithm to enable the management of consumable alerts and shipments based not only on a residual level, but also on the number of days remaining until full depletion of the consumable, or even on the number of pages remaining to be printed by the cartridge. This means that users can now decide, for their entire fleet, or for some specific customers, models or single devices, whether their consumable shipments are driven by the actual remaining level, by the estimated end date or by the page volume yet to be printed by the cartridge. This brings considerable optimisation and cost-savings, as it enables MPS Providers to ship toners and photoconductors only if and when they are really needed. This avoids waste and duplicated shipments, and ensures that customers get an optimal MPS service while keeping costs under tight control.

The use of AI and ML technologies enables the system to ‘learn’ not only from the history of the single device, but also from the entire population of thousands of devices of the same brand and model present in the MPS Monitor database. This helps to provide increasingly accurate predictions and coverage calculations as the dataset grows with more data  being added to the system every day.

Even before the release of Supplies Intelligence, many MPS Monitor users stated that, since starting to use the platform, they have saved an average of 30 to 40% of toner purchases, compared to previously. The company estimates that, with the adoption of Supplies Intelligence, an additional 10 to 20% of savings can be expected, on average, by dealers that have already fully implemented automated supplies replenishment.

Toner coverage is a major contributor to a dealer’s profitability in MPS contracts. Supplies Intelligence now provides more accurate and granular data points on this, allowing dealers much better control on contract margins and profits. DCAs, even if clustered, can become a point of failure for the entire Remote Monitoring and Management infrastructure. When a DCA is down, the Dealer does not receive data on meters and consumables. As a consequence, invoicing of pages and supplies shipments are mpacted. Moreover, remote service and maintenance operations are not available in the absence of a valid and active local connector. A simple PC or Server shutdown, or maintenance may negatively affect an entire Managed Print Service engagement and create customer dissatisfaction.

Through HP SDS Cloud DCA, devices exchange data continuously with the cloud, without any external interference due to on-premises component failures. Dealers can take advantage of the continuous availability of all the SDS platform’s advanced capabilities, while reducing their Managed Print Services operations costs.

HP SDS Cloud DCA can be activated easily in the MPS Monitor Portal for all managed HP FutureSmart Devices having Internet access and running FutureSmart Firmware version 4.9.0.1 or later. It also supports a mixed environment, where in the same customer is present one or more on-premises MPS Monitor DCA connectors. If the on-premises connector fails or is deactivated, the devices connected to HP SDS Cloud DCA will continue to be monitored and managed in the same way and with no interruption.

On July 21, 2020, Microsoft announced the public preview of Universal Print, the Microsoft 365-powered, cloud-based print solution that moves key Windows Server print functionality to the Microsoft 365 cloud. It allows print processes to no longer rely on on-premises print servers and frees up users from installing printer drivers on devices. Universal Print adds critical functionality such as security groups for printer access, location-based printer discovery, and a comprehensive administrator experience.

Thanks to the integration of Universal Print within MPS Monitor, Dealers and Managed Print Services providers using the MPS Monitor fleet management platform can activate directly from MPS Monitor all Universal Print functionalities. Customers using Microsoft 365 can easily access Universal Print. MPS Monitor can enable automatic registration of monitored devices in Universal Print and activation of Print Policies, Print Queues, and Pull Printing.

MPS Monitor automatically syncs with Microsoft Azure Active Directory to activate the Universal Print service for each selected customer. Once the service is active for a customer, the MPS Monitor DCA is automatically enabled to work as a Universal Print Connector, avoiding the need to install any additional software or hardware components on the customer’s network.

Microsoft Power BI Embedded Analytics tools integrate all print job information coming from Universal Print into MPS Monitor, joined with existing devices’ data, to provide a full and comprehensive view of print costs, usage patterns, and predictive analytics.

From a security perspective, the integration of MPS Monitor and Universal Print enables printing from zero-trust networks via single sign-on (SSO). Universal Print stores all print queues in Office data storage, where customer’s Microsoft 365 mailboxes and OneDrive files are also stored. Dealers using MPS Monitor can now leverage the new predictive Business Intelligence tool “Supplies Intelligence Dashboard”, available on the MPS Monitor Portal’s Analytics page.

The Supplies Intelligence Dashboard is a new PowerBI tool in the MPS Monitor Analytics area that provides an easy and guided user interface for forecasts and information on Toner and Photoconductors’ consumption.

Its goal is to support the user in managing future shipments and analyzing historical consumption, reducing costs, and improving the print fleet management operations.

The MPS Monitor system can make accurate predictions of expected end dates for cartridges present in the devices at data collection.

This information is aggregated and analyzed in the Supplies Intelligence Dashboard to provide users with a series of predictive features:

The predictive analysis aims to help the Dealer optimize its consumables warehouse’s procurement and management, indicating with the highest possible accuracy what are the expected needs over time for each Part Number.

If the Dealer assigns a value to each consumable in MPS Monitor, the analysis is processed in both quantity and value.

The analysis also allows the Dealer to identify abnormal trends that need further drill down, like an unusually high consumption forecast on a customer or Part Number.

The availability of this information in a predictive way will enable the Dealer to prevent and, as far as possible, avoid future anomalies, rather than remediating problems already happened.

The Dashboard provides various analyses related to the use of consumables on devices based on their consumption history, volumes of pages produced, and time. Examples are:

The Yield Gap is a fundamental metric to understand whether the cost-per-page the Dealer charges for each device is adequate or not for the number of pages printed with each cartridge and their average coverage.

Suppose that the Dealer has defined the cost-per-page in a contract, based on the theoretical yields declared by the consumable manufacturer. In that case, the Yield Gap will allow the Dealer to determine precisely whether these costs are correct or, for example, if cartridges on a specific device or fleet are producing far fewer pages than their nominal Yield.  In this case, to prevent the contract from generating economic losses for the Dealer, it will be essential to address the situation with the customer and discuss possible solutions.

The Supplies Intelligence Dashboard is also extremely useful for analyzing calculated Toner Coverage on each device, based on the history of its consumption, to have accurate information on the contract’s real profitability. The system, using specific algorithms based on consumable history detections and changes, can accurately determine the coverage that has occurred on each cartridge replaced in the past on the device, as well as that relating to the cartridge currently in use:

Timely and granular information about the coverage is essential to evaluate and possibly discuss with the customer any situations in which the cost-per-page contract is not profitable due to excessive consumption compared to the volume of pages produced by the device.

The average historical coverage figure is also easily used when renegotiating a contract, supporting the need for a price review, or demonstrating the reasons for a higher page cost than previously applied.

The Dashboard allows to access the MPS Monitor Portal device page directly, as well as to view an additional detail page, which summarizes all the main metrics and information that the algorithm provides, thus having a comprehensive view of the data relating to the individual device and each of its consumables.

HP Partners can activate online a new SaaS service that provides full HP Smart Device Services access, with dedicated offers starting from a free version

Milan, 5th September 2017 – MPS Monitor for HP Smart Device Services (MPS Monitor SDS) is now available to the HP Partners ecosystem worldwide. It offers a new, self-consistent SaaS  (Software-as-a-Service) solution that allows users to access all the functions of the HP SDS platform easily and immediately. It is specifically designed for HP Partners who wish to leverage immediately all the financial and operating advantages offered by HP Smart Device Services (SDS), but aren’t willing to adopt a new monitoring solution for their Managed Print Services environment.

The MPS Monitor SDS solution allows HP Partners to start providing HP SDS services to customers straight away. Partners will have exclusive access to the SaaS features provided by HP through a dedicated Portal and specific cost-effective subscriptions that are extremely easy and fast to activate. Using HP SDS SaaS features is simple and straightforward, and does not require specific skills or training.

HP Partners of any size can access MPS Monitor SDS by choosing from 7 different subscriptions, starting from a free version that offers the complete range of SDS features on up to 50 HP printing devices.

For larger needs, HP Partners can choose the most appropriate option, starting from MPS Monitor SDS Mini, which can manage up to 200 devices at a cost of €99/month. It can be scaled up to 500, 1,000, 2,000 and 3,000 devices. Partners who manage more than 3,000 devices for their customers may request a customized quotation. Partners using MPS Monitor SDS can activate, cancel or modify their subscription online using the MPS Monitor SDS Portal.

MPS Monitor has been fully integrated with HP SDS services and with the HP JetAdvantage Management platform since April 2017. This integration is already active for over 220 customers and manages over 2,000 devices. Oberon Launches Software-as-a-Service for HP’s JetAdvantage Management Platform and Smart Device Services

HP SDS is a set of cloud tools and device-based sensing capabilities, designed to dramatically enhance the service experience. Milan, Italy – 06 October 2016 – MPS Monitor Srl announced today that its eXplorer Data Collection Agent (DCA) is now available as an Embedded Application on new MFP and IoT platforms, in addition to the traditional Windows one.

The new versions allow all the printing devices in a network to be monitored, using a simple Embedded App installed on a multifunction Samsung XOA/E or Kyocera HyPAS. If these MFPs are not present, a RASPBERRY PI2/PI3 running Windows 10 IoT Core, or even an Apple computer with MAC OSX operating system can be used.

The use of Embedded versions of MPS Monitor ensure that end users and Dealers experience maximum availability of data, allowing remote management and an efficient and accurate control of all aspects of operations, from page volumes produced to consumables supply and replacement needs, without having to install any software or use resources on the customer’s systems (PCs or Servers).

Embedded versions of the MPS Monitor have been produced also thanks to the close partnership between MPS Monitor and Oberon Service, an authorised Samsung XOA and Kyocera HyPAS developer that has deep skills and specific tools to develop embedded applications for multifunction devices.

New software leverages connected technology to certifiably releaf forest consumption
Milano, Italy – February 15th, 2016 – MPS Monitor srl (formerly AB Asset Management srl), producer of MPS MONITOR printer management SaaS platform, has become an authorized Distribution and Integration partner of the PrintReleaf Exchange [PRX], the first technology platform to enable cloud-based forest product (e.g., paper) tracking and reforestation. This strategic partnership allows the company to provide its customers with an innovative and authentic way to promote sustainable business practices and reduce the environmental impacts that can result from the use of forest products, such as printing.
PRX measures paper consumption through a patent-pending aggregation process that uses the automatic transmission of device and fleet data collected by print management software on imaging devices. This allows end users to help neutralize paper waste, improve efficiency and certifiably participate in sustaining our global forests.
